1. Scope

This Privacy Policy explains how Skola collects, uses, shares, and protects information when schools, administrators, teachers, staff, parents, and students use our websites, apps, and services.

Skola is a school operating system built for African schools. The platform can be used by a school to manage students, staff, attendance, academics, results, fees, messaging, and related operations.

2. Information we collect

We collect information in the following ways:

  • Account and profile details such as names, email addresses, phone numbers, roles, and login credentials.
  • School content and records such as student profiles, staff records, attendance, timetables, results, invoices, payments, messages, and announcements.
  • Billing information such as subscription details, transaction references, invoices, and payment status. We use payment processors for card and transfer collection.
  • Device and usage data such as IP address, browser type, app interactions, logs, cookies, and error reports.
  • Support and communication data such as messages sent to our team, feedback, and onboarding requests.

3. How we use information

We use information to provide the service, create and manage accounts, authenticate users, process school workflows, send system notifications, bill subscriptions, maintain security, and improve the product.

We may also use aggregated or de-identified data to understand product usage, improve performance, and develop new features.

4. School data and role-based access

For school content entered into Skola, the school is usually the data controller and Skola acts as a service provider or data processor on the school’s instructions.

Schools are responsible for deciding what information is collected, who can access it, and whether notices or consents are required from parents, staff, or students under applicable law.

5. Sharing information

We do not sell personal data. We may share information only when necessary to run the platform or when required by law.

  • With authorised school users based on their assigned roles and permissions.
  • With third-party providers that help us host the platform, store data, send emails or SMS, authenticate users, and process payments.
  • With legal, regulatory, or law enforcement authorities when required to comply with a valid request or protect rights, safety, or the integrity of the service.
  • With a successor company in the event of a merger, acquisition, restructuring, or asset transfer, subject to appropriate confidentiality protections.

6. Cookies and analytics

We use cookies and similar technologies to keep users signed in, remember preferences, measure product performance, and understand how the platform is used.

Administrators can usually control some browser-level cookie settings, but blocking certain cookies may affect sign-in, persistence, or portal functionality.

7. Security and retention

We use reasonable administrative, technical, and organisational safeguards designed to protect data against unauthorised access, loss, misuse, or disclosure.

We retain information only as long as needed to provide the service, meet legal obligations, resolve disputes, enforce agreements, and support the school account. Retention periods may vary based on the type of data and the school’s settings.

8. Children and school data

Skola is used in educational settings and may store data relating to minors where a school uploads or manages that data. Schools are responsible for making sure they have the rights, notices, and consents required to collect and use that data.

If you believe a child’s information was submitted to Skola without appropriate authority, contact us so we can review the request.

9. Your choices and rights

Depending on your location and role, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal data. For school-managed records, the school may need to make the request on behalf of the data subject.

You can also request help with account access, data exports, or deletion by contacting us at the email below.

10. Changes and contact

We may update this policy from time to time to reflect changes in our product, laws, or operational requirements. We will post the revised version on this page with an updated date.

Questions about this policy can be sent to our team at info@skolahq.com.

Need a custom agreement?

If your school, trust, or group needs a data processing agreement, enterprise terms, or a custom contract addendum, contact us and we’ll review it with you.
